HUMAN RESOURCE CLERK

Independence House, Inc. (IH) is a comprehensive domestic & sexual violence community-based agency and shelter program in Barnstable County that focuses on meeting unique and cultural needs of survivors and their children. We provide safety, food, shelter, advocacy, counseling and other resources to assist survivors in rebuilding violence-free lives for themselves and their children. IH works closely with other agencies in the community, to provide a comprehensive network of resources for survivors of domestic and sexual violence and their children. The Human Resource Clerk is responsible for the daily tasks related to the operation of the Human Resources Department.

RESPONSIBILITIES / SPECIFIC JOB DUTIES

  • Post open positions and initially screen applicants.
  • Notify Human Resource Director of applicants.
  • Prepare staff manual and documents to be completed for orientation.
  • Handle 1st section of orientation including all necessary documents. (i.e., I-9, CORI, Application, W-4, etc.)
  • Forward these documents to the Human Resource Director.
  • Send notifications to staff and directors regarding 6 month introductory & yearly evaluations.
  • Maintain filing system for Human Resources.
  • Maintain accurate and up-to-date human resource files, records, and documentation.
  • Answer frequently asked questions from applicants and employees relating to standard policies, benefits, hiring processes, etc.; refer more complex questions to the Human Resource Director or senior management.
  • Maintain the integrity and confidentiality of human resource files and records.
  • Perform periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Assist with planning and execution of special events such as open enrollment, organization-wide meetings, employee recognition events, holiday parties.
  • Enter biweekly payroll onto Excel worksheet.
  • Check for accuracy.
  • Prepare and input biweekly payroll information using payroll software ensuring information is received and transmitted accurately.
  • Process employee recognition awards.
  • Simplify reports for time efficiency and important accuracy of reconciliations.
  • Maintain accurate and timely staff timekeeping records to comply with labor laws and other legal employment requirements.
  • Create efficiencies in the Human Resource Department.
  • Other duties as assigned.

Work Environment and Physical Demands:

  • Work requires the ability to ascend or descend stairs, as well as the ability to move about and position self efficiently to perform physical tasks and address emergency situations.
  • May require sitting for long periods of time.

QUALIFICATIONS

  • Bachelor’s degree preferred.
  • Minimum of 3 years’ experience in human resources
  • Attention to detail.
  • Knowledge of Microsoft software – proficient in Excel
  • Ability to work well with others.
  • Ability to troubleshoot and work through problems.
  • Computer proficiency
  • Strong interpersonal skills and communication skills
  • Strong work ethic and ability to work independently.
  • Ability to maintain confidentiality & privacy of sensitive information.
  • Assertive communication skills
  • Can Do Attitude.
  • Consistent attendance
  • Must be able to manage multiple projects/demands.
  • Must adhere to drama free zone and professional environment.
  • Manage conflicts appropriately.

OTHER REQUIREMENTS

  • Completion of some sections of Independence House Domestic & Sexual Violence training – agency provided.
  • Satisfactory CORI & SORI
  • Belief and respect for the mission of Independence House
  • Must possess a valid MA driver’s license and proof of vehicle insurance and have access to a vehicle during work hours.
  • Must obtain or maintain account with a financial institution for direct deposit of paychecks.
  • Demonstration of professionalism
