ADMINISTRATIVE COORDINATOR- 1 day a week
7.0 hours (1 day a week on Fridays)

Independence House, Inc. (IH) is a comprehensive domestic & sexual violence community based agency and shelter program in Barnstable County that focuses on meeting unique and cultural needs of survivors and their children. The IH Emergency Domestic Violence Shelter is a fully inclusive pet and therapeutic animal friendly environment. We provide safety, food, shelter, advocacy, counseling and other resources to assist survivors in rebuilding violence-free lives for themselves and their children. JOB SUMMARY
Coordinates, oversees, and/or performs a wide variety of administrative, secretarial, and program support activities. Serves as primary point of operational and administrative contact for internal and external constituencies. Coordinates the provision of office and staff support services to the office, and oversees and/or participates in the coordination and completion of special projects and/or events.
SUPERVISION RECEIVED
The Administrative Coordinator reports to the Director of Operations & Personnel
MAJOR DUTIES
- Develop, compile and maintain Independence House inventory of furniture for all offices and court programs
- Maintain office equipment (copier/printer, fax and postage)
- General office management of phone, fax, computer & file systems
- Assist with mass mailing & bulk rate tracking
- Secretarial support/receptionist
- Assist in coordinating logistics of agency events
- Updating all schedules and posting them in a timely manner, including supervisor of the day schedule
- Prepare coffee and monitor availability during the day
- Ensure that coffee supplies are available (cups, stirrers, sugars & creamer)
- Straighten out waiting area and empty trash as needed
- Distribute faxes
- Prepare and mail out accounts payable checks
- Assist the Business & Finance Director with projects as needed
- Order supplies on the 1st and 15th of each month
- Assist all departments with making copies when needed
- Ensure staff and client restrooms on the first floor are sufficiently supplied with paper products and hand soap
- Address daily operational issues that arise (plumbing, light bulbs, etc.)
- Maintain bulletin boards and update materials in the reception area on a monthly basis
- Receive agency in-kind donations
- In consultation with the Director of Operations & Personnel oversee maintenance of 3 properties
- Oversee the cleaning contract for the agency
- Oversee the contracts for snow removal and landscaping (2 properties)
- Oversee the contracts for Terminex (3 properties)
- Main contact for the electrical, plumbing and heating vendors and issues that arise in these areas (3 properties)
- Coordinate office moves, dump runs, etc.
- Reviewing and keeping track of computers
- Recommend disposal of old and purchasing new furniture (file cabinets, chairs, desks for all offices)
- Maintaining supplies for snow (salt, shovels, etc.)
- Coordinating office repairs
- Assist with general duties as needed
- Turning over offices to new staff
- Keep masters of all forms
- Other duties as required
KNOWLEDGE, SKILLS, AND ABILITIES
- Strong clerical skills
- Solid computer skills (proficient in various software applications)
- Ability to work under pressure in a busy environment.
- Sensitivity to the issues of domestic violence and sexual assault.
- Positive and upbeat demeanor
- Uphold boundaries
- Ability to communicate with others via written and oral word.
- Contribute to a positive climate.
REQUIRED TRAINING AND EXPERIENCE
- Jane Doe DV & SA trainings completed.
- A. Degree in business or administrative support
- Equivalent life experience will be considered in lieu of a degree.
- Knowledge and experience in working in an office setting.
